Track expirations across your fleet

Add an expiration date when you upload a document to see its status and get notified as it approaches or passes the expiration date. You can monitor document status for individual drivers, vehicles, trailers, and your company, or get a fleet-wide view.
How expiration status works
Documents with expiration dates are marked:
Expiring soon β the expiration date is approaching.
Expired β the expiration date has passed.
Folders show the number of documents in each status, so you can spot items that need attention at a glance. Documents without an expiration date and archived documents aren't included.


See what needs attention across the fleet
Open Documents in the left navigation to get a fleet-wide view.
The page groups drivers, vehicles, trailers, and company records by type and shows how many documents need attention for each one, along with the earliest expiration date.

Select a row to open its Documents tab and take action.
Coming up
The Coming up summary gives you a longer-range view of document expirations, showing what's due in the next 30, 60, and 90 days, along with anything already past its expiration date.
Recent activity
The Recent activity view shows changes made to your documents β who added, changed, archived, or deleted a document, and when. You can switch between everyone's activity and your own.
Expiration alerts
Set up email and portal alerts to remind users about upcoming document expirations.
By default, alerts are sent 30 days before a document expires and again on the expiration day.
You can change when alerts are sent.
Alert settings apply to your whole company and are used for all users with access to your company's portal.
Archived documents don't trigger alerts.
To adjust alerts, open Documents and select Manage alerts.
